  • Specify procedures to implement and achieve compliance of the declared aims.
  • Monitor product compliance to prevent unnecessary corrective and preventive actions.
  • Evaluate the efficiency of the system periodically by the use of internal quality audits.
  • Communicate the information necessary to maintain the system.
  • Motivate and train personnel at all levels to operate to the requirements of the quality system.

Adherence to the Quality Manual and its associated Quality Procedures is mandatory on all employees of the organisation
without compromise or exceptions.

Line Scan is fully aware of the requirements of the Data Protection Act 1998 and registered under the act. (DPA registration number Z6020186).

Line Scan is a Corporate Member of the Records Management Society.

Line Scan feels it is essential to perform quality control procedures therefore has adopted the following process:

  • During the file preparation process the files are checked for any discrepancies in order for numbering or even missing files.
  • Once the files are scanned a visual check is performed to ensure the quality and accuracy of the scan. If detail is lost the scanning operator will re-set the settings and perform the scan again to achieve the maximum quality. As the files are scanned in batches once a batch has been scanned the quality control checks are carried out.
  • At the indexing process another visual check is performed to confirm the quality of the scan. The files are also indexed in batches and at the end of each batch the indexing is checked for miss-keyed characters.
  • The files are then built into a database which is where the final stage of the quality control process is carried out. The image quality and indexing is checked at this stage.
  • The search criteria’s are keyed into the database to perform a random check on specific index fields. The Index fields are sorted, to check any discrepancies in the sequence of the files. The totals are also checked against the original specifications delivered by the client.
  • All of these separate quality control checks are performed by different individuals to ensure a fresh view is taken on the files.

All processes and checks that are performed within the quality control process are signed off.
